Coffee Time Minutes 28th November 2012


Who we are?
Small and Home Business owners meeting to build relationships from other SBO’s.

What is CT?
Relatively casual meeting group, where you can network, talk about business ideas and strategies, and learn from one another.

Where?
Tuggerah’s Zenith Centre.

When?
At 10.30 am on the 2nd & 4th Wednesdays of the month. Arrival 10.25 am for 10.30 am start. (Runs for about 1 hour)

Update on our Raffle?
Today we raised $18, bringing the total this year raised $544 (including this week’s total) for this year for the Iris Foundation in 2012.

This year we will continue with our Raffles and donation to Iris Foundation. This year we will do a raffle again for the Iris Foundation. We will be looking for prizes/donations up to the value of $10. Its will be up to you if you would like to participate and none should feel obliged. Tickets will be $2 each, or three for $5.

Don’t forget Jay can come out to your workplace and do a free assessment; you can then get a $500 voucher/credit towards purchasing safe office things (chair, etc). Jay also has workshops, one on one meeting and assessments currently available. If you wish to have a free appointment with Jay please contact him on jay.lewis@workcover.nsw.gov.au

Christmas Party

Coffee Time Christmas Party will be on the 12th of December, cost is $40 per head for 2 course meal. The meal is: (alternate meals)

Entrée:
Smoked salmon and chunky guacamole stack with zesty lime and mango sauce
Tender chicken breast infused with Thai flavours on a crisp salad with glass noodles and toasted cashews

Mains:
Grilled MSA rump steak topped with garlic prawns and a lemon thyme hollandaise on parsley chat potatoes
Beer battered flathead fillets with a season potato wedges, salad and a citrus tartare sauce.
And a glass of wine.

Arrival for lunch is at 11.45am, with lunch served at 12.

Today we raised $34, bringing the total this year raised $526 (including this week’s total) for this year for the Iris Foundation in 2012.

This year we will continue with our Raffles and donation to Iris Foundation. This year we will do a raffle again for the Iris Foundation. We will be looking for prizes/donations up to the value of $10. Its will be up to you if you would like to participate and none should feel obliged. Tickets will be $2 each, or three for $5.

• NSW Business Chamber negotiated with brokers for insurance. And got discounted insurances – Alliance has come on board and will provide a discount for small business packages. They do workers compensation, public indemnity, public liability, etc.
• NSW Business Chamber won the tender for the apprenticeship centre. Providing training and support to apprenticeships and trainees. 50% of kids today do not finish their trade or apprenticeships. Government wants to work with businesses and trainees to find out why and get them finishing their trades.
• Kids and apprentices need basic courses and need education
• Mentor program will be set up for business owners to mentor Gen Ys.

• Need to be honest
• Offer a product or service that people require or want
• A call to action
• With websites – use key words, have your home page as your website, gets to the front by number of views
• Facebook, Twitter and Linked in to advertise and let people know what you are selling
• 20% Promotional and 80% information – sales offers (websites)
• Share information with people
• Word of mouth
• Support each other
• Support local small business
• Referrals – give them only if you know them or have used them. No use referring someone if you don’t know what they do or how they work.
• Send out price lists
• Value for money
• Email your contacts – need and value
• You sell yourself – you have to be professional, friendly, honest, reliable.

Update on our Raffle?
Today we raised $44 bringing the total this year raised $418.50 (including this week’s total) for this year for the Iris Foundation in 2012.

This year we will continue with our Raffles and donation to Iris Foundation. This year we will do a raffle again for the Iris Foundation. We will be looking for prizes/donations up to the value of $10. Its will be up to you if you would like to participate and none should feel obliged. Tickets will be $2 each, or three for $5.

Advertising in your business – open forum

What is advertising?
The aim of advertising is to get customers attention and influence their behaviour, usually to buy your product or service. It can be expensive, so you need ensure that you are getting the right message to the right people.

What to look at before you spend:
• Is it going to get me the right customers
• Is it my target market
• What are the costs
• Will it harm my image
• Will it generate sales
• Will it increase my profile

Where to Advertise:
• Newspapers
• Magazines
• Radio
• Internet
• Television
• Yellow pages
• White pages
• Buy local
• True local
• Gum tree
• Brochures
• Mail outs
• Letterbox drops

What to do:
• Set out a plan for the year or 18 months
• Work out your budget for the year, month
• Work out how much you want to spend
• Work out the amount of new clientele you need to cover the costs to make it worth while.
o E.g.: if it costs you $2000 per month, how many clients do you need to cover the cost? 10 clients a month to cover the cost of advertising.
• When signing up for advertising – read the fine print
• Be careful not to be caught up in contracts.
• Social Media – advertising through – linked in, face book, twitter
• Research all options before signing up. What works for someone, might not work for the next person
• Each business is different – check your target market

Human Resources – Open Discussion

• What is human resources?

o The personnel of a business of organisation

o The department of a business or organisation that deals with administration, management and training or personnel.

• What do they do?

o Deal with staff problems

o Performance management of staff

o How to hire and fire

o Training

o Keep staff happy

• Training – make sure you have procedure and office manuals for your business.

• Ensure training is at induction as well as ongoing

• Keep in touch with your staff to ensure they are happy

• By keeping in touch with staff you can keep tabs on what’s happening and what they need help on

• Look at your team; who makes it up; where can each person bring some thing different to the table and help make the team better

• Make sure everyone is accountable; even the boss

• Have steps in procedures so people can understand what is the task

• Ensure staff know what is expected from them

• Ensure staff are trained properly in products and their job

• Ensure use of job descriptions

• Make sure you are compliant in work – agreements, wages, workers compensation, etc

• Make sure your terms of employment are up to date

• Put training manuals online, for easy access as well as having them updated

• Set targets for your team

• Have regular staff meetings to see how everyone is going

• Look at rewards – Friday drinks, bonuses, flowers, awards

• It’s the little things that make a good team – reward when you can – a thankyou will do as well

• Know what drives your team

• Be fair and state up front what you expect

• Make sure you have realistic KPIs, and people understand what they are and why you have them

• Make KPIs achievable

• Train your staff to reach their KPIs

• Ensure you have discipline and consequences if not meet, but explain why

• Have a team rather than someone who works for you

• Get feedback from your team

• Work together, not against each other

• Who does what and why? Accountability

• Bosses make mistakes too

• Look at people in your team, or who you want in your team, who wants to work together, time to give, mix of men and women, different skills

• Have a board of advisers to help you the business owner be accountable.

• Semi retired or retired people are always willing to be mentors.

• The BEC have mentors aswell if you are interested, run upstairs and see the team.

• New laws came out in January 2012
• Changes to the names
• In line with other states in Australia
• Previously known as Employer is now known as PCBU
• Previously known as a employee is now known as a worker (somebody engaged)
• Worked can be casual, fulltime, contractors, apprentices, volunteers.
• Basically work cover is common law.
• Common law – to look after people doing work for you
• Ensure premises are safe,
• Ensure machines are safe
• Responsibility to train and adequately show OHS procedures have been taught
• Need to have good systems in place
• Manage risks
• Risk consultations with your workers to find out if there is any concerns
• PCBUs have a legal responsibility to talk to all engaged workers
• Consult between different parties. Example; you have a worker, and you rent a shop, and the body corp. need to all be talking and aware of issues.
• All employers (PCBUs) have a duty of care
• Volunteers need to be looked after aswell.
• Need to identify possible risks
• Notify people – PCBUs, workers
• There is a code of practice now with work cover

Who we are?
Small and Home Business owners meeting to build relationships from other SBO’s.


What is CT?
Relatively casual meeting group, where you can network, talk about business ideas and strategies, and learn from one another.


Where?
Tuggerah’s Zenith Centre.


When?
At 10.30 am on the 2nd & 4th Wednesdays of the month. Arrival 10.25 am for 10.30 am start. (Runs for about 1 hour)


Update on our Raffle?
Today we raised $30.50 bringing the total this year raised $285.50 (including this week’s total) for this year for the Iris Foundation in 2012.

This year we will continue with our Raffles and donation to Iris Foundation. This year we will do a raffle again for the Iris Foundation. We will be looking for prizes/donations up to the value of $10. Its will be up to you if you would like to participate and none should feel obliged. Tickets will be $2 each, or three for $5.


Updated Members
We have over 120 members for Coffee Time. You can come when you are free, never feel obligated and always feel welcome. I have a list with everyone who has come along to Coffee Time; I am updating the distribution list. If you would like to be included, please check your details are correct, update where necessary and add if not on there.

I have bought a card box for everyone’s cards and the folders were ripped. Please utilise the card holder box, please pass around each meeting, and feel free to support each other and utilize their services.

Tony Bourke on Goal Setting

• Top 10% of people in the world have a goal

• Most people don’t know how they will get to their goal

• Write down your goals.

• Be specific with your goals and steps to get there

• Brian Tracy completed a study that showed that people that simply wrote down what they wanted and put it in their wallet or purse, when they looked at the list a year later 80% of them had completed those goals.

• Bob Proctor - wrote a book “You were born rich”. Check it out

• Maybe make a vision board – add pictures and words to it. Dates aswell

• Have an emotional attachment to your goal – imagine what it would feel like

• Be excited about your goal

• Another idea is to get a shoe box – make a slot in it, and drop all your pictures in there of your goals

• Have a vision board for your business and your personal life

• Audrey Hepburn once said – Nothing is impossible, the word itself says IM POSSIBLE!

What’s the difference between leasing and higher purchase?

• Lease – hire the vehicle; pay a charge and hand back car at the end; Claim in tax return; GST claim on a lease

• Higher purchase – purchase and own vehicle. Has depreciation; Interest is claimable;

• Chattel mortgage - Claimed GST upfront



What time is a good time to go to a company from a sole trader?

• Turnover – increasing $100K +

• To set up a company costs about $1 - $2K

• Tax minimisation with a company

• Structure is your foundation

• Most people set up as sole trader – all income is personal tax, there is no tax saving



What are the tax benefits of a company?

• 30% instead of MRT

• Legally protected in a company

• As a sole trader you are legally responsible



What is the benefit of meeting with your accountant before June 30th?

• Talk about cash flow

• Talk about strategies to minimise tax

• Tax benefits

• Tax planning from the start of the financial year

• Money into super

• Ways to save money, look a business spending



How complicated is it to switch from a sole trader to a company?

• New bank accounts

• New GST registration

• Company no.

• New insurances

• Registration of a company

• Meet with an accountant to set up correctly – this way winding any debts or credits to go to company can be set up correctly.



Important Note:

• Make sure you have good records – if you have good record it is cheaper when you meet with the accountant.

• Keep on top of your accounts

• Keep up to date with your GST and PAYE tax
